Exhibitor Checklist

Confirm Your Booth Reps 

Review the list of booth representatives (exhibitor delegates) to confirm that your staff have registered and will receive an Exhibitor Hall Pass. Registration opens in late July and closes September 11. (Please check back in late August/early September.)

See Your Booth Number/Location  

Booth selection happens in mid-August to mid-September. We will publish the list here so you can check out where your company is located within the Exhibitor Hall. (Please check back in late September.)

Tradeshow Space Set Up

Exhibitor Move-In

5:30 PM – 7:30 PM

Exhibitors check in and set up their booth in the Exhibitor Hall located in Pre-function 2A and Salon A on Level 2. 

Note: To accommodate last-minute move-in, the Exhibitor Hall will be open and available for Exhibitors to set up their booth between 6:30 AM–7:20 AM or 9:00 AM–9:50 AM the following morning. This is intended for final touches only. The Loading Bay at the venue is NOT available during these two last-minute time slots.  

Exhibitors must have their booth set up by 9:45 AM and must not disturb delegates attending the Buffet Breakfast next to the Exhibitor Hall who will be listening to our keynote speaker between 7:30–9:00 AM.

**Exhibitor Tradeshow Opens**

7:30 AM

We expect there to be some delegates making their way to the Buffet Breakfast slightly before it starts at 7:30 AM, but the majority will likely arrive closer to 7:30 AM or thereabouts.

Buffet Breakfast

7:30 AM – 9:00 AM

There may be some limited traffic in the Exhibitor Hall during the breakfast buffet featuring one of our keynote speakers.

Note: Thursday and Friday breakfasts and lunches are included for booth representatives that have registered and paid for them.  

Reminder: Two booth reps are complimentary if your company bought a single booth. Four booth reps are complimentary if you bought a double booth.  

(The Buffet Breakfasts and the Networking Lunches will be served in Carson Hall B/C and are not available in the Exhibitor Hall).

An introduction will be given by an Engineers and Geoscientists BC staff member. We'll open the bar, begin passed appetizers, and encourage mingling

Exhibitor Move Out

12:30 PM – 2:30 PM

Delegates will be attending Continuing Education sessions at this time. 

Note: Our conference display company will begin tearing down the Exhibitor Hall (i.e., piping, draping, electrical) between 1:00 PM – 3:00 PM).  

The Exhibitor Hall needs to be completely vacated by 3:00 PM because the space will be used for another conference event.

Exhibitor Hall / Tradeshow Tear Down

1:00 PM – 3:00 PM

Tradeshow space will be taken down and packed up by the conference display company, Global Convention Services.

Exhibitor Resources

Global Convention Services are the official show display contractors for the 2026 conference tradeshow. A welcome email will be sent from them that will direct you to their online order portal for booth set up and freight handling.

Booth Essentials

  • Power Bar: We recommend that you bring a power bar if you need access to more than one outlet for your booth
  • Engagement items: We estimate there will be approximately 500 or more delegates roaming the Exhibitor Hall

Exhibitor Tradeshow Passport

Each delegate will be given an Exhibitor Tradeshow Passport that was created to help direct traffic to your booth. Use this as an opportunity to connect with our delegates, thought leaders, management, trusted partners and more!

We will update parking information closer to the conference tradeshow event date. Please check back in September.

Exhibitor Arrival and Set Up (Including Loading Bays)

We will update this information, including loading bays and where to pick up your Exhibitor Hall passes/name badges closer to the conference event date. Please check back in September.

Exhibitor FAQs & Reminders

What's included in my Exhibitor Booth package?

Each Exhibitor Booth package includes Exhibitor Passes for Booth Reps and a specific booth set up depending on size.

Is Wi-Fi included for Exhibitors?

Yes, Wi-Fi is provided, and the access code will be provided onsite.

Do I have to attend the Thursday and Friday breakfasts and lunches?

No, attending the breakfasts and lunches is optional. If you'd like to attend, please opt-in through your Booth Rep / Exhibitor delegate registration, which will occur in the month of August.

Can I share my Exhibitor Hall pass with other Booth Reps?

No, Exhibitor Hall passes are limited to 1 person per pass. Additional passes are available for purchase on the Booth Rep Registration page.

Can I access other parts of the conference?

If you'd like to attend other parts of the conference (i.e. keynotes, continuing education sessions, etc.), you'll need to purchase a Conference Package. Booth reps with Exhibitor Hall passes are limited to the Exhibitor Hall only. 

Exhibitors are eligible for an exclusive discounted rate of 15% on a maximum of two 2-day conference packages for employees, guests, or clients. Use the discount code 15OFFEXHIBITOR when completing your registration. Please complete your registration of conference packages by September 21, 2026.

Will there be dollies available during Exhibitor move in and move out?

Yes, there will be dollies available.
